For physical therapy clinics

Physical therapy: patients arrive with the paperwork already done.

I build small tools for the front desk of a PT clinic: intake forms patients fill in on their phone, reminder texts they confirm or move with one reply, and check-ins for patients who stop before they finish their plan. It works next to your EMR, and you approve every message.

The real problem

Clipboards, no-shows and unfinished plans.

New patients show up and spend the first 15 minutes on a clipboard. Then someone types it all in again.

Patients forget, or work gets in the way, and the slot sits empty. Calling everyone the day before takes front desk time you don't have.

And patients who feel a little better often stop coming before the plan is done. Many clinics pay hundreds a month for texting, review and marketing tools that overlap with what their EMR already does.

What the physical therapy demo shows

It's a made-up clinic called Example Physical Therapy. Open it on your phone and tap through it the way your customer would. Nothing in it is live, so poke around.

  1. New patient forms

New patients fill this in on their phone before they come in. No clipboard, no retyping.

  2. Reminder, confirm, and an easy reschedule

Dana confirms with one letter. When a shift comes up the night before, she picks a new time by text, and the open slot can go to your waitlist.

  3. Finish your plan check-ins

Patients who stopped coming get a friendly check-in before they're gone for good.

The monthly bills

What physical therapy clinics often pay each month

These are tools physical therapy clinics often pay a monthly bill for, at published or reported prices. Each price links to where it came from.

ToolWhat it doesPriceMy takeSource
BirdeyeStarter Review requests $299/mostarting price Worth a hard lookWorth a hard look if reviews are most of what you use it for. contractortoolstack.com
PodiumCore plan Texting and review requests $399/mo Worth a hard lookIf you mostly use it for review asks and texting, that's the part I can build for you to own. pabau.com

Birdeye alone comes to $3,588 a year at that price.

What usually stays: your EMR, your billing setup and your home-exercise app. What I build takes over the intake forms, reminder texts, plan check-ins and review asks.

Prices are what each linked page showed when I checked on October 23, 2026. Vendors change prices, and several sources are reviews or comparison sites rather than the vendor's own page, so check your own bill. I don't list my prices here. You get one written price after the free walkthrough.

How it works

How working with me goes

Every clinic is different, so I don't guess from the outside. The first look is free, and nothing gets built until you've said yes to one written price.

STEP 1

Free walkthrough

A 20-minute call, or a free 2-minute video built for your clinic. You tell me what eats your time. I tell you straight if I can fix it.

STEP 2

One price, in writing

A short write-up and one price before you pay anything. No hourly meter. If I can't build it, no charge.

STEP 3

Built around what you use

Your EMR, billing and home-exercise app stay. The new tool works next to them, so your front desk doesn't learn a new system.

STEP 4

You approve every message

You read and okay the wording before the tool sends anything, and you can change it any time.

STEP 5

You own it

It's yours outright. It keeps working whether or not we ever talk again.

STEP 6

Up and running

Most tools are working in 2 to 4 weeks from your yes. I'm a phone call away if something needs a change.

Remote or in person, same price. I'm based in Mason City, Iowa. If your clinic is in North Iowa, I'll come sit at your desk. Anywhere else, we do it over a screen share: you see what I see, and you're talking to me the whole time, not a team you never meet.

Straight answers

Questions physical therapy clinics ask

Can patients reschedule without calling?

Yes. They reply to the reminder and pick from a few open times. The old slot shows up as open so you can offer it to someone on the waitlist.

What about patient privacy?

Anything that texts patients has to run through a texting provider that signs a business associate agreement (BAA) with your clinic. We settle that before anything gets built. If a piece can't be done the right way, it doesn't get built.

Do we have to switch EMRs?

No. Your EMR stays where it is. The tool works next to it.

Do you only work with physical therapy clinics in Iowa?

No. If you're in North Iowa, I'll come to you. Everywhere else, we work over a screen share, which is how most software gets built anyway. Your zip code doesn't change the price.

What does it cost?

It depends on what your clinic needs, so I don't post prices. The walkthrough is free and ends with one price in writing. A one-time tool is a one-time price, and if I can't build it, there's no charge. Texting and hosting have a small monthly bill in your own name, and I'll show you that number up front too.

Let's talk

Tell me what's eating your time.

One free call, or a free 2-minute video of what this would look like in your physical therapy clinic. If there's nothing worth building, I'll tell you that too.
