For dental offices

Dental offices: a missed call at the front desk stops turning into a lost patient.

I build small tools for the front desk of a dental office: a text back when nobody can answer, recall reminders for patients who are overdue, and a page where new patients can request a time after hours. It works next to your practice software, and you approve every message.

Hi, this is an automatic text from Example Family Dental. Sorry we missed your call. Reply 1 if someone needs to be seen soon, or 2 to request a regular appointment.
Hi it's Jess Hanson, calling about my son, can someone call me?

The real problem

The phone rings at lunch and after five.

Your front desk can't answer two lines at once, and nobody answers during lunch. A parent calling about a child's toothache may not leave a message. They call the next office.

Then there's recall. Patients who are overdue for a cleaning don't call you. Someone has to work down a list, and that list slips when the desk is busy.

Many small practices also pay twice for the same thing: a patient texting and phone system, plus a separate reminder or review tool that does part of the same job.

What the dental demo shows

It's a made-up office called Example Family Dental. Open it on your phone and tap through it the way your customer would. Nothing in it is live, so poke around.

  1. Lunch hour call from a parent

Jess calls at 12:14 p.m. while the front desk is at lunch. She gets a text within a minute and replies instead of calling another office. The desk gets an alert, calls her back, and books a same-day visit.

  2. Overdue cleaning board

Anyone due or overdue gets a friendly text with a way to book, instead of someone working down a call list.

  3. Request an appointment

Patients pick a service, a day and an open time on their phone, even at 10 p.m. The reminder texts schedule themselves.

The monthly bills

What dental offices often pay each month

These are tools dental offices often pay a monthly bill for, at published or reported prices. Each price links to where it came from.

An office paying for Weave plus a separate review tool like Birdeye is at $699 a month or more at those prices.

What usually stays: your practice management system (Open Dental, Dentrix or Eaglesoft) and your phones. What I build takes over the missed-call texts, recall reminders, booking requests and review asks.

Prices are what each linked page showed when I checked on October 23, 2026. Vendors change prices, and several sources are reviews or comparison sites rather than the vendor's own page, so check your own bill. I don't list my prices here. You get one written price after the free walkthrough.

How it works

How working with me goes

Every office is different, so I don't guess from the outside. The first look is free, and nothing gets built until you've said yes to one written price.

STEP 1

Free walkthrough

A 20-minute call, or a free 2-minute video built for your office. You tell me what eats your time. I tell you straight if I can fix it.

STEP 2

One price, in writing

A short write-up and one price before you pay anything. No hourly meter. If I can't build it, no charge.

STEP 3

Built around what you use

Your practice software and phones stay. The new tool works next to them, so your front desk doesn't learn a new system.

STEP 4

You approve every message

You read and okay the wording before the tool sends anything, and you can change it any time.

STEP 5

You own it

It's yours outright. It keeps working whether or not we ever talk again.

STEP 6

Up and running

Most tools are working in 2 to 4 weeks from your yes. I'm a phone call away if something needs a change.

Remote or in person, same price. I'm based in Mason City, Iowa. If your office is in North Iowa, I'll come sit at your desk. Anywhere else, we do it over a screen share: you see what I see, and you're talking to me the whole time, not a team you never meet.

Straight answers

Questions dental offices ask

What about HIPAA?

Anything that texts patients has to run through a texting provider that signs a business associate agreement (BAA) with your practice. We settle that before anything gets built. If a piece can't be done the right way, it doesn't get built.

Do we have to leave Dentrix, Eaglesoft or Open Dental?

No. Your practice software stays where it is. The tool works next to it.

We already pay for Weave. Is this for us?

Maybe. Some offices keep Weave for phones and drop add-ons they don't use. Others pay for a separate reminder or review tool that overlaps with it. The walkthrough is where we find what you're paying for twice.

Do you only work with dental offices in Iowa?

No. If you're in North Iowa, I'll come to you. Everywhere else, we work over a screen share, which is how most software gets built anyway. Your zip code doesn't change the price.

What does it cost?

It depends on what your office needs, so I don't post prices. The walkthrough is free and ends with one price in writing. A one-time tool is a one-time price, and if I can't build it, there's no charge. Texting and hosting have a small monthly bill in your own name, and I'll show you that number up front too.

Let's talk

Tell me what's eating your time.

One free call, or a free 2-minute video of what this would look like in your dental office. If there's nothing worth building, I'll tell you that too.
